FieldFlash PRO ("we," "us," or "our") operates the FieldFlash PRO field service management platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our software, website, and related services.

Information You Provide
- Account Information: Name, email address, phone number, company name, and job title when you create an account or request a demo.
- Customer Data: Information about your customers that you enter into the platform, including names, addresses, phone numbers, email addresses, and service history.
- Payment Information: Billing details processed through our third-party payment processors (Stripe, Helcim). We do not store credit card numbers on our servers.
- Communications: Messages you send to us via email, phone, or through the platform.
Information Collected Automatically
- Usage Data: Pages visited, features used, time spent on the platform, and browser/device information.
- Log Data: IP address, browser type, operating system, and referring URLs.
- Location Data: Approximate location based on IP address, and precise location if you enable GPS for mobile technician tracking (with your consent).

- To provide, maintain, and improve our field service management platform
- To process transactions and send related billing information
- To send transactional communications including service appointment notifications, work order updates, and invoice reminders via email and SMS
- To respond to your inquiries and provide customer support

3. SMS/Text Messaging
FieldFlash PRO enables service companies to send SMS notifications to their customers. These messages are transactional in nature and may include:
- Appointment confirmations and reminders
- Technician en-route notifications with estimated arrival times
- Work order status updates (started, completed, requires follow-up)
- Invoice and payment reminders
- Scheduled maintenance notifications
Consent: SMS messages are only sent to customers who have provided consent. Consent is collected during customer onboarding, service agreement signing, or through the customer portal. See our SMS Consent Policy for full details.
Opt-Out: Recipients can opt out at any time by replying STOP to any message, contacting the service company directly, or updating preferences in the customer portal. Opt-out requests are processed immediately.
Message Frequency: Typically 1–5 messages per month, depending on active service appointments.
No Sharing: Phone numbers and messaging data are not sold, rented, or shared with third parties for marketing purposes. Phone numbers are only shared with our SMS service provider (Twilio) for the sole purpose of delivering messages.
4. Data Sharing and Disclosure
We do not sell your personal information. We may share information in the following circumstances:
- Service Providers: We use third-party services including Twilio (SMS), Mailgun (email), Stripe and Helcim (payments), QuickBooks Online (accounting), and Google Maps (routing). These providers only access data necessary to perform their services.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
- Legal Requirements: We may disclose information if required by law, subpoena, or governmental request.
- Protection: To protect the rights, property, or safety of FieldFlash PRO, our users, or the public.
5. Data Security
We implement appropriate technical and organizational measures to protect your data, including:
- Encryption of data in transit (TLS/SSL)
- Secure password hashing
- Role-based access controls
- Regular security monitoring
While we take reasonable precautions, no method of electronic storage or transmission is 100% secure.

If you request account deletion, we will delete your data within 30 days, except where retention is required by law or for legitimate business purposes (e.g., resolving disputes, enforcing agreements).
